Attendee Experience

How attendees check in with QR codes

Last updated: July 2026 · ~5 min read
In short: Every registered attendee gets a unique QR code. Scan it at the door with the Eventira check-in app (or a browser) to check them in instantly — and it still works if the venue's Wi-Fi drops.
Note: QR check-in is an add-on, priced separately from your plan. See pricing for current rates, or reach out if you're not sure it's enabled on your account.

Before you start

Attendees need to be registered first — see registration under Event Hub → Attendees. You'll need a phone, tablet, or laptop with a camera for scanning at the entrance.

Steps

  1. Turn on check-in

Go to Event Hub → Attendees → Check-in and toggle it on for your event. You can optionally set up multiple check-in points for different entrances or session-level check-in.

Check-in settings panel with a toggle to enable check-in and entrance point options.
  2. Generate QR badges

Each attendee automatically gets a unique QR code once registered. Attendees can access theirs from their confirmation email, the attendee app, or you can pre-print badges from Attendees → Export badges.

  3. Scan attendees in

Open the Eventira check-in app (or the browser-based scanner) on a phone or tablet at the entrance, and scan each attendee's QR code. A green confirmation shows their name and ticket type; a red alert flags duplicates or invalid codes.

Check-in scanner screen showing a green success state with attendee name and ticket type.
  4. Sync offline scans

If the venue loses connectivity, the scanner keeps working and queues scans locally. Once the device reconnects, queued check-ins sync automatically — no action needed.

Tip: Set up more than one device per entrance for large events to avoid a queue building up at the door.
Note: Live check-in counts appear in Event Hub → Analytics, so you can track attendance in real time.
